PinCRM enforces absolute tenant isolation. Your leads, buyer requirements, unit seller contacts, and internal deal offer states belong 100% to your agency. We never sell, share, or pool your agency's private inventory with competitors.
1. Information We Collect
Agency Information: When an agency creates an account, we collect company registration details, administrator names, corporate email addresses, and phone numbers.
Operational CRM Data: Data entered by your team into PinCRM — including buyer leads, phone logs, follow-up notes, property unit details, seller contacts, and deal stage transitions.
Usage & Telemetry Data: Device IP addresses, browser types, interaction timestamps, and audit log entries required to maintain security and system integrity.
2. Private Property Pool & Multi-Tenant Isolation
Every Egyptian real estate brokerage operates its own isolated tenant environment ('tenant_id'). Data recorded under your agency's account is database-partitioned and inaccessible to any other tenant.
Private Property Pools: Private unit inventory created by your sales agents is strictly scoped to authorized users within your agency. Junior agents see only listings they are explicitly permitted to view.
AI Copilot Isolation: PinCRM's embedded AI assistant processes queries within your agency's isolated context only. Training or cross-tenant learning on your proprietary data is strictly prohibited.
3. How We Use Information
To deliver, maintain, and optimize PinCRM real estate management software.
To facilitate buyer lead matching, pipeline auditing, and automated deal stage workflows.
To send operational notifications, security alerts, and system health updates.
To comply with legal obligations under Egyptian technology and data protection laws.
4. Security & Encryption Standard
Data Encryption: All data in transit is protected using TLS 1.3 encryption, and sensitive data stored at rest uses AES-256 standard encryption.
Access Control: Strict role-based access control (Super-Admin, Agency Admin, Team Leader, Agent) prevents unauthorized internal exposure.
Audit Logging: Every state transition (lead stage changes, offer approvals, deal status updates) is saved in immutable audit log tables.
5. Data Retention & Agency Rights
Your agency retains 100% ownership of your data at all times.
Data Export: Administrators can export leads, inventory, and transaction reports in standard CSV/Excel format.
Soft-Delete Policy: Deleted records are marked as soft-deleted ('deleted_at') to prevent accidental loss, with full permanent deletion available upon written request.
